For 27 years, we’ve been taking 150 of the region’s top leaders to a different region to learn from its leaders on the annual Leadership exchange (LEX) program. We’re headed to Salt Lake city to bring home the best practices and innovations that the city has to offer and apply them in our region.

Invitations:
· Participation in the Leadership Exchange is by invitation only.
· he delegation will be comprised of leaders diverse in sector, industry, company, gender, ethnicity.
· Delegates are also selected based on expertise and influence in the themes of study.
· One delegate per organization may participate.
· Sponsoring organizations at a level of $7,000 or above may send two paid delegates. (The program fee of $3,650 is in addition to the sponsorship fee.)

Substitutions:
· This invitation is non-transferable.
· If the invited delegate is not able to attend, a substitute or an alternate participant will not be accepted. (Sponsors receive an exception).

Cancellation & Refund Policy:
We understand that plans change. Please note that all requests for refunds are subject to a $400 cancellation fee to offset processing costs incurred by the Leadership Foundation. Cancellations received two weeks or less from departure (after September 8, 2016) are subject to the Leadership Foundation Attrition Policy.

Attrition Policy:

The Denver Metro Chamber Leadership Foundation relies upon the delegate’s participation and commitment.

If delegate cancels within two weeks of departure, the Leadership Foundation will make every attempt possible to fill the vacated slot with another paying participant. If the slot is filled by another participant, delegate will receive a refund minus the processing fee. If, however, the slot cannot be filled by another participant, delegate agrees to pay the full delegate fee.

Alternate Travel:
· If you have alternate travel plans, please notify the Leadership Foundation as soon as possible.
· There will not be a discount to the program fee for traveling separate from the group.
If you are traveling independently, you will need to make those arrangements and pay for them out-of-pocket.

Southwest Airlines Flight Check in:  Main terminal
Southwest Airlines check-in counters are located on the East side across from door 613 (near the Westin Hotel).  Please note, this is a public flight that the Leadership Foundation has bought out. All delegates must abide by current TSA and airline regulations, as you would with any other commercial airline flight.  The aircraft will not be held for any late arrivals. A boarding pass will be provided at the airport. As a group flight ticket holder, you will not be able to print the pass out in advance of the flight.

Plan to arrive at the airport no later than 6:30 a.m.
Our flight will arrive at approximately 10:00 a.m. in Salt Lake.

Saturday, September 24th
Salt Lake Departure: 3:25 p.m. (MST)
Flight #: 1265
Flight arrives at DIA at approximately 5 p.m. (MST). Please note, the return leg is a public flight and our delegation will be joined by other travelers.

It is essential that you advise the Leadership Foundation as soon as possible if you do not plan to travel with the delegation (times are listed below).  If you are making your own flight arrangements please update your registration form here or notify Megan Vivier at megan.vivier@denverleadership.org. As a reminder, independent flights are not covered in your delegate fee and no discounts will be provided for alternate flight arrangements.

If you qualify for TSA Pre-Check as a “Known Traveler,” you will need to share this number with us so it appears on your boarding pass. Please notify Megan Vivier at megan.vivier@denverleadership.org

Charter bus ground transportation is provided in Salt Lake for the delegation. Again, if you are joining the group late or departing early, you will need to make your own ground transportation plans. The airport is located less than 10 minutes from downtown Salt Lake.

Additional Room Nights
The Leadership Exchange program nights of Thursday, September 22nd and Friday, September 23rd are included in your delegate fee. We have booked your room for these nights. Shoulder nights at the group rate are available for the 21st and the 24th. Please alert Megan.Vivier@denverleadership.org at your earliest opportunity to confirm your shoulder night room. They are limited and we cannot guarantee availability. Regular room rates for shoulder nights are currently available. You may contact the hotel directly to book shoulder nights, outside of our group travel dates.
 
Special Needs
In your registration form, we requested information on any special needs regarding accommodations and dietary restrictions please update your registration form here. You will need your personal confirmation number (sent in your Cvent registration confirmation email) to do so. Alternately, please contact Megan Vivier at megan.vivier@denverleadership.org or call 303.620.8035 at your earliest opportunity.

Providing Credit Card for Incidental Charges
All Delegates are required to provide a credit card directly to the Grand America Hotel in the event that there are incidental charges during your stay (e.g. room service, etc.).  A physical swipe of your card is required. Please be apprised you will need to stop by the hotel registration desk sometime during your stay.

  • Only incidentals will be charged to the card provided. Your LEX delegate fee covers the cost of two hotel nights, taxes, all meals, excursions, pre-briefing and program materials.

 Luggage Tags
You will receive color-coded luggage tags at the September 16th Briefing. Please place the tags on your luggage to make sure that your checked bag arrives in your room at the hotel. You will also need these tags in place to retrieve your bag for the outbound flight to Denver.  If you cannot attend the all-delegate briefing, we will have tags at the airport for you. You may send a representative to retrieve them. Alternately, we will have them available for pick up, after September 16 at the front desk for the Denver Metro Chamber (1445 Market Street, 4th floor). We cannot mail or courier luggage tags.

You will not have access to your bag; until you return to the hotel at 5 p.m. on September 22. As a reminder, your carry-on bag should be light and portable, as you will take it with you for the afternoon on Thursday, September 22nd.

The 2016 program fee is $3,650.

The program fee covers all group expenses including:
Round-trip air travel with the LEX delegation on Southwest Airlines
Chartered ground transportation
Accommodations (Room rate and tax for the two nights of September 22 and September 23 are covered by the program fee. Incidental charges are each individual’s responsibility.)
